Must Have Airbnb Booking Messages with Examples for Busy Hosts

Hosting on Airbnb is a great way to make additional income. But managing guests can be tricky! Good communication stops issues before they start.  So I’ve compiled these tips to help you ace guest communication while maintaining your sanity—and getting those coveted five-star reviews. 

First let’s cover the top 3 MUST HAVE AIRBNB messages you should have ready to send to guests below with examples.  

The 3 Must Have Messages are:

  1. Welcome Messages/ Booking Messages
  2. Check In Messages
  3. Check Out Messages

Welcome Messages/ Booking Messages

Although Airbnb sends an automated email once a guest has booked, I highly recommend a Welcome/Booking Message. First impressions last, and your welcome or booking message is your chance to set a friendly tone right from the start. This isn’t just a "thanks for booking" kind of note—it’s your opportunity to deliver all the essential details like check-in times, key instructions, and a welcome that makes guests feel excited to arrive. You don’t have to roll out the red carpet, but a message that’s warm and professional will go a long way. Bonus points if you include additional details such as what the nearby establishments are that they may want to go to during their stay. This could include information such as where the nearest grocery stores are or where the best place to eat in town is. 

EXAMPLE WELCOME MESSAGE:

Hi [Guest Name],  Yay! We are so excited that you booked our place for your upcoming visit. We have a keypad code on the front door for easy check-in.  You’ll be getting that code the morning of your arrival, so be sure to check your messages or have the Airbnb app downloaded on your phone.  Our address is: XYZ Street and we recommend using either Google or Apple Maps to navigate to our place.  Parking is free for upto 2 cars in the driveway.  If you have any questions or need local recommendations, please let us know!  Warmly, [Host Name]

Check In Messages

Check in messages should include all necessary information to access your property. This will be information such as address, keypad code, check-in time, and any other details relevant to your rental.  Time your check in message based on what works for you. Some hosts send this message 2 days in advance and others wait until the morning of arrival. 

EXAMPLE CHECK IN MESSAGE:

Good morning [Guest Name],  Your {city_name} stay is here!

Check in is anytime after 3pm and Check out is 11am. There is a

keypad on the door for entry. Just enter the last 4 digits of your phone number to open the lock.  

The address is {property_address}. Parking is located in an undercover area on the left where you can park up to 2 cars free of charge. Plenty of free off street parking is also available.

WiFi Details:

– Username: {username} – Password: {password}

House Rules Messages

Nobody likes to be hit over the head with rules, but a quick message about house guidelines can prevent headaches later on. Keep it light, friendly, and to the point—whether it’s about quiet hours, no smoking zones, or keeping Fido off the furniture. Setting clear expectations is a great way to avoid any confusion.  You can include these rules in the check in message or send it to your guest after they have checked in.

Check Out Messages

Ah, the bittersweet moment when your guest’s stay is coming to an end. A well-timed check-out message gives them all the info they need to leave things tidy without having to search for the trash can at the last minute. Be polite, helpful, and wish them well. You can time this for the evening before departure to make sure your guests know when to check out.

Hi [Guest Name],  We hope you enjoyed your stay with us!  Check out instructions are simple and listed below.  If you need anything before check out time of 11am just let us know.

Please place used towels in one spot in the bathroom.  Kindly place all trash in the bin located in the driveway.  Turn off all lights and AC.  Lock the door behind you when you leave.  Wishing you safe travels and hope to see you again soon!
